TenantBridge LLC (“TenantBridge,” “Company,” “we,” “our,” or “us”) respects your privacy and is committed to protecting the information entrusted to us. This Privacy Policy describes how TenantBridge collects, uses, stores, discloses, and protects information through the TenantBridge platform, website, mobile-accessible services, and related products and services (collectively, the “Services”). This policy is intended for the TenantBridge beta program and initial launch phase. By accessing or using the Services, you agree to the practices described in this Privacy Policy.

1. Who We Are

TenantBridge LLC is an Ohio limited liability company that provides software tools designed to assist small landlords with property management activities.

TenantBridge is a software provider and is not:

  • A landlord;
  • A property manager;
  • A real estate broker;
  • A debt collector;
  • A law firm;
  • An accounting firm; or
  • A financial institution.

TenantBridge provides software tools that landlords may use to manage rental properties and communicate with tenants.

  • Payment-related records
  • Accounting-related information uploaded by users

Documents Uploaded by Users

B. Information About Tenants

When landlords choose to use tenant-facing features, we may collect information about tenants provided by landlords or submitted by tenants through the platform, including:

  • Name
  • Email address
  • Telephone number
  • Emergency contact information
  • Lease-related information
  • Rent payment history
  • Maintenance requests
  • Communication preferences
  • SMS notification preferences
  • Documents uploaded by landlords or tenants

TenantBridge processes this information on behalf of landlords.

The landlord is responsible for obtaining any required notices, disclosures, permissions, and consents before providing tenant information to TenantBridge.

C. Automatically Collected Information

When users access the Services, we may automatically collect:

  • IP address
  • Browser type
  • Device information
  • Operating system information
  • Log data
  • Access times
  • Usage information
  • Diagnostic information
  • Error reports
  • Security monitoring data

5. SMS Communications

A. Transactional SMS Only

TenantBridge currently supports transactional SMS communications related to maintenance request status updates.

Examples may include:

  • Maintenance request acknowledged
  • Maintenance request in progress
  • Maintenance request resolved
  • Maintenance request canceled

TenantBridge does not currently use SMS messaging for marketing, advertising, promotional, lead generation, solicitation, or other marketing-related purposes.

B. SMS Consent

SMS messages are only sent when:

  1. The landlord enables the functionality;
  2. The tenant has provided any required consent; and
  3. SMS notifications remain enabled.

Landlords are solely responsible for obtaining any legally required notices, disclosures, permissions, authorizations, and consents before utilizing SMS features.

C. Mobile Information Non-Sharing

Mobile information shared for SMS consent, SMS opt-in, or SMS participation purposes will not be shared, sold, rented, transferred, disclosed, or provided to any third parties or affiliates for marketing or promotional purposes.

SMS opt-in data, consent records, mobile telephone numbers, messaging preferences, and related SMS information are used solely for:

  • Delivering the transactional notifications described in this Privacy Policy;
  • Operating and maintaining the TenantBridge platform;
  • Maintaining compliance records;
  • Auditing messaging activity;
  • Preventing fraud, abuse, and unauthorized access;
  • Investigating service issues; and
  • Improving platform functionality.

TenantBridge does not share SMS opt-in information, consent records, mobile information, or messaging preferences with third parties for their own marketing, advertising, or promotional purposes.

D. Opt-Out Rights

Recipients may opt out of SMS communications at any time.

Supported opt-out keywords include:

  • STOP
  • STOPALL
  • UNSUBSCRIBE
  • CANCEL
  • QUIT
  • END

After opting out, recipients will no longer receive SMS messages unless they subsequently re-subscribe.

Supported re-subscription keywords include:

  • START
  • UNSTOP
  • YES

Supported help keywords include:

  • HELP

E. Message and Data Rates

Message and data rates may apply depending on a recipient's wireless carrier plan.

Wireless carriers are not liable for delayed or undelivered messages.

6. Payment Information

TenantBridge uses third-party payment processors, including Stripe.

TenantBridge does not store complete payment card information on its own servers.

Payment information is processed directly by Stripe pursuant to Stripe's privacy practices and terms.

For rent collection functionality, TenantBridge's intended architecture utilizes Stripe Connect Standard, under which landlords operate as the merchant of record and TenantBridge does not hold tenant funds.

7. Third-Party Service Providers

We may share information with service providers that assist in operating the Services, including:

Infrastructure and Hosting

  • Supabase
  • Lovable Cloud infrastructure

Email Delivery

  • Resend
  • Google Workspace

Payment Processing

  • Stripe

Communications Providers

  • Twilio

Analytics, Security, and Operational Providers

  • Vendors assisting with platform operations and security

These providers are authorized to access information only as necessary to provide services on our behalf.

8. How We Disclose Information

We do not sell personal information.

When users instruct us to share information.

Business Transfers

In connection with mergers, acquisitions, financing transactions, asset sales, reorganizations, or similar business transactions.

TenantBridge does not sell user information to advertisers or data brokers.

9. Data Retention

TenantBridge generally retains account information:

  • For as long as an account remains active; and
  • For approximately one (1) year following account cancellation.

Following the retention period, data may be permanently deleted, anonymized, or aggregated.

Users may receive a data export upon cancellation, subject to technical limitations and applicable law.

10. Data Security

TenantBridge employs administrative, technical, and organizational safeguards designed to protect information.

These measures may include:

  • Authentication controls;
  • Role-based access restrictions;
  • Row-level security controls;
  • Encrypted communications;
  • Access logging;
  • Security monitoring;
  • Infrastructure protections provided by our hosting vendors.

However, no security system is completely secure.

TenantBridge cannot guarantee absolute security of information.

11. User Responsibilities

Users are responsible for:

  • Maintaining password confidentiality;
  • Limiting account access;
  • Protecting login credentials;
  • Managing authorized users;
  • Maintaining independent backups of critical information where appropriate.

Users must promptly notify TenantBridge of suspected unauthorized account access.

12. Children's Privacy

The Services are intended for use by adults engaged in property management activities.

The Services are not directed toward children under the age of 13, and TenantBridge does not knowingly collect personal information directly from children under 13.

13. Your Privacy Rights

Depending upon applicable law, users may have rights to:

  • Access information;
  • Correct information;
  • Update information;
  • Request deletion of information;
  • Obtain a copy of information;
  • Object to certain processing activities.

TenantBridge may verify identity before responding to requests.

14. Ohio Users

TenantBridge is headquartered in Ohio and is designed primarily for Ohio landlords.

Information may be processed and stored within the United States.

By using the Services, users consent to the transfer, storage, and processing of information within the United States.

15. Do Not Track

Some browsers provide “Do Not Track” signals.

Because no consistent industry standard currently exists, TenantBridge does not respond to all Do Not Track signals.

16. Changes to This Privacy Policy

TenantBridge may modify this Privacy Policy from time to time.

When material changes are made, we may:

  • Update the Effective Date;
  • Post the revised Privacy Policy; and/or
  • Provide additional notice through the Services.

Continued use of the Services after changes become effective constitutes acceptance of the revised Privacy Policy.

19. Mobile Messaging Disclosure (Twilio/TCPA Language)

By affirmatively opting into SMS notifications through the TenantBridge platform, you agree to receive transactional text messages relating to maintenance request updates and other account-related notifications authorized by your landlord.

Message frequency varies. Message and data rates may apply. Message frequency varies based on maintenance activity associated with the rental property.

Consent to receive text messages is not a condition of purchasing any goods or services, entering into a lease, obtaining housing, or receiving property management services.

You may opt out at any time by replying STOP.

Mobile information shared for SMS consent, SMS opt-in, or SMS participation purposes will not be shared, sold, rented, transferred, disclosed, or provided to third parties or affiliates for marketing or promotional purposes.

SMS opt-in information, consent records, mobile telephone numbers, and messaging preferences are used solely to provide the transactional notifications described in this Privacy Policy and to operate, secure, maintain, and improve the TenantBridge platform.

This MVP Privacy Policy is intentionally scoped to TenantBridge's beta program and initial launch functionality, including Supabase hosting, Twilio transactional messaging, Stripe payment processing, landlord and tenant data handling, and the Company's stated post-cancellation retention practices.
